Role Purpose:
The Facilities Management & Administration team is part of the UO People team that provides quality services and support contributing to the positive people experience for all our employees that include work efficiency, well-being and safety working within the UO premises.
Responsibilities:
- Manage the office administration and facilities for all UO office premises, include but not limited to office equipment maintenance, office cleaning, safety and security.
- Ensure that all facilities, safety and security system are well-maintained, conduct proactive maintenance and monitor space management including office space, conference rooms, pantry and other common areas;
- Ensure that the facilities comply with government and corporate regulations, safety, environmental, health, hygiene and security standards;
- Assist in the implementing and maintaining the company’s health and safety policies, procedures and initiatives;
- As backup for office administrative duties;
- Perform ad-hoc support to the People team as assigned, including but not limited to renovation of refurbishments, Town Hall meetings, company activities and events, etc.
- Responsible for assigned projects, such as office space optimization
- Provide support for budget planning and cost control.
Qualifications
- High Diploma or above in Business, HR, Property/ Facility Management or a relevant discipline;
- Minimum 5 years of working experience in general office administration, HR support and facilities management a definite plus, candidates with less experience will be considered for the position of Supervisor/ Specialist;
- Proficient in MS Word, Excel and PowerPoint Good command of both written and verbal English and Chinese skills;
- A good team player, proactive with strong interpersonal and communication skills;
- Able to work independently with a strong sense of accountability.
