Role Purpose
Facilities Operations & Compliance
- Oversee daily workplace operations, ensuring a safe, compliant, and productive working environment in accordance with company standards, policies, and regulatory requirements.
- Oversee and manage front desk operations, cleaning services, and other third-party service providers, ensuring compliance with SLAs and maintaining high workplace standards.
- Act as the primary liaison between Building Management Offices, landlords, service providers, and internal stakeholders to ensure timely resolution of workplace and facilities-related issues.
- Provide facilities and operational support for corporate events, employee engagement activities, and business functions, including venue preparation, logistics coordination, and meeting room setup as required.
- Act as a committee representative and attend quarterly meetings on workplace safety, catering services, transportation arrangements, and other facilities-related matters, escalating and reporting issues as required.
Financial & Vendor Management
- Monitor the usage and inventory levels of office supplies, pantry consumables, facilities materials, and utilities, ensuring timely replenishment and effective inventory control.
- Oversee and execute the validation, processing, and timely settlement of rent, management fees, utilities, insurance premiums, and other facilities-related expenses across Hong Kong and regional offices.
- Monitor Facilities Management budgets, track expenditures, support budget planning, and identify cost-saving opportunities while maintaining service quality and operational efficiency.
- Maintain strong relationships with vendors, contractors, landlords, and service providers, ensuring contractual obligations and service standards are consistently met.
Workplace Projects & Improvements
- Serve as the project owner for all Alteration & Addition (A&A), Move and Changes works, and workplace enhancement initiatives across office premises, overseeing project planning, contractor management, budget control, quality assurance, and timely delivery of office fit-outs, layout optimization, furniture upgrades, and employee experience improvements
- Research, evaluate, and implement cost-effective, innovative, and sustainable workplace technologies, products, and solutions to enhance operational efficiency, modernize the workplace environment, and support the company's sustainability objectives.
Employee Services & Experience
- Manage employee transportation schemes and workplace mobility initiatives, including airport staff bus discounts, car park applications, commuting arrangements, and other transportation-related programs.
- Explore, negotiate, and implement corporate partnerships, employee privileges, and value-added benefits that enhance employee experience and wellbeing.
Other
- Undertake any other ad hoc duties, projects, and responsibilities as assigned by the supervisor.
Qualifications
Education
- Bachelor's degree in Facilities Management, Business Administration, Property Management, Engineering, Hospitality Management, or related discipline.
- Professional certifications in facilities management are an advantage (e.g., IFMA Certified Facility Manager (CFM), FMP, IWFM, or equivalent).
Experience
- 3 to 6 years of relevant experience in facilities management, office administration, workplace services, property management, or corporate services.
- Experience managing office facilities, vendor contracts, maintenance programs, and workplace operations.
- Experience supporting medium to large organizations with multiple stakeholders.
- Exposure to project management, office relocations, renovations, or workplace improvement initiatives is preferred.
Technical Knowledge
- Knowledge of facilities operations, building maintenance, space planning, and workplace services.
- Understanding of health, safety, environmental, and regulatory requirements.
- Familiarity with procurement processes, contract management, and supplier performance monitoring.
- Experience managing budgets, invoices, and facilities-related expenditures.
- Proficiency in Microsoft 365 applications (Excel, Word, PowerPoint, Teams, SharePoint).

- Availability to respond to facilities-related incidents outside normal business hours when required.
